A sample raincoat can look right on a hanger and still pull across the shoulders over a winter jacket. A two-piece suit can fit well standing up, then open a gap at the waist when a worker bends. For contractors, safety teams, and PPE distributors, the time to catch those problems is before approving the sample and placing the bulk order.
Start with the work crew and the conditions they face. Choose a long raincoat or a jacket-and-trouser set, specify what workers will wear underneath and over it, and ask suppliers to quote the exact model and construction they can deliver. Approve that configuration in writing so your team can check production against it.
Choose a long raincoat or a two-piece suit
| Option | Where to start | What to check on the sample |
|---|---|---|
| Long raincoat | Crews that need a single outer garment for intermittent rain | Check hem clearance on steps and when seated, coverage below the hem, and whether workers can reach tools and operate closures with gloves on. |
| Jacket and trousers | Crews that need separate leg coverage or different jacket and trouser sizes | Check jacket-to-trouser overlap while reaching and crouching, trouser clearance over work boots, and how easily workers can put the trousers on. |
The 300D reflective rainwear range is one catalog example of both formats. Check the dimensions and construction of the particular style you intend to order. Browse work rainwear options.
Test the garment as it will be worn. Close it over the thickest issued layer and try it with the actual boots, gloves, and head protection. Where workers use a harness or carry equipment over the garment, check which reflective bands remain visible from the front, sides, and back. Have the site safety lead review the full combination.

Specify rain protection and visibility separately
Give the supplier two separate requirements to answer. For rain protection, ask for the shell and coating, which seams are sealed, and how the hood, front closure, and cuffs are constructed. For visibility, specify the jobsite or contract requirement, the background color, and the reflective tape layout. Ask the supplier to state the standard, edition, and garment type or class where applicable.
Check what each document actually covers. An ISO 811 hydrostatic test describes the fabric's resistance to water penetration. For a finished garment requirement, ask for evidence that covers the quoted configuration and confirm which models, sizes, and colorways it applies to. Request the same confirmation if you change the tape layout or add a logo near a visible panel or sealed seam. ISO 24232 rain protection scope · ISEA high-visibility apparel standard
Copy this RFQ field table
Use one line per model or configuration. Ask each supplier to answer in the same format and identify any proposed differences in its quote.
| RFQ field | What to enter or request |
|---|---|
| Worksite and use | Destination country, crew roles, typical rain exposure, day or night use, and work near traffic or mobile equipment. List the layers and PPE worn with the rainwear. |
| Garment and quote unit | Long raincoat, jacket only, trousers only, or jacket-and-trouser set. State whether pricing is per piece or per set and ask whether mixed top and bottom sizes are available. |
| Quantity and size split | Total units and quantities by size, color, and site. List spare or replacement units separately. |
| Size chart and tolerances | Request the exact model's chart in centimeters, with body measurements distinguished from finished garment measurements. Ask for chest, sleeve, and back length for tops, and waist and inseam for trousers. Request tolerances at agreed measurement points. |
| Rain protection and construction | Shell and coating, seams to be sealed, hood design, front closure and storm flap, cuff adjustment, and trouser opening. State any required performance level and supporting test evidence. |
| Visibility and branding | Background color, tape type and layout, and required standard, edition, type, or class if applicable. Attach logo artwork and specify placement, dimensions, and application method. |
| Model evidence and labels | Manufacturer and model code, technical sheet, relevant reports or declarations, and label and care instruction samples. Ask which configurations the documents cover. |
| Samples and changes | Sample sizes, fee, lead time, and approval deadline. Require written approval before any change to the agreed fabric, seam sealing, tape, pattern, or branding. |
| Price, packing, and delivery | Unit price, MOQ by color or size, packing and carton labels, production lead time after approval, delivery deadline, named destination, and quoted trade term. |
If the supplier confirms split sizing, write the combination explicitly, such as 20 sets with an XL jacket and L trousers. Repeat it on the purchase order and packing instructions so both teams count it the same way. Download the general PPE RFQ template.
Approve a production sample in five steps
- Identify what you received. Record the RFQ or PO line, supplier model, sample ID, size, color, and revision. Compare the sample with the quoted construction and the documents. List any production details still pending, such as the final logo or labels.
- Trial the fit with the complete kit. Have wearers try representative sizes, including the smallest and largest ordered where practical. Ask them to reach overhead, crouch, step up, and operate the closures with gloves on. Check hood sightlines, hem clearance, and jacket-to-trouser overlap.
- Inspect the seams, closures, and tape. Look for lifted seam tape, gaps in sealing, and exposed stitching at the agreed check points. Inspect the hood joins, shoulders, front closure, and cuffs. If you agree on a controlled water screening check, record the method, duration, and any leak locations. Use that screening to flag sample defects and the specified test evidence to verify performance requirements.
- Record the decision. Mark the sample Approved, Revise and resubmit, or Rejected. Hold approval if the sample differs from the quoted configuration or required evidence is missing. Keep the signed specification and dated photos. Retain an approved physical sample where practical and tie the decision to the exact revision.
- Check the first production units. Compare seam sealing, tape and logo placement, measurements, and labels against the approved reference. Use the agreed inspection plan to check the size and color split before shipment.

For dispatch approval and discrepancy handling, use the PPE sample approval and pre-shipment checklist.
